Scanning & Paperwork

If it isn’t scanned, it didn’t happen — and it doesn’t get billed.

Scan every vehicle in ReconPro

Every vehicle we clean gets scanned with:

  • Complete VIN
  • Make, model, year and color
  • Stock # or RO #
  • Technician(s)
  • Service performed

ReconPro rules

  • Every technician’s name must be in ReconPro on the iPad of the store they’re working at.
  • ReconPro must be up to date every day.
  • Service Department vehicles may need a separate invoice sent right away to the dealership contact.
  • At the end of the day, generate the invoice and send it to the dealership contact(s) with every service done that day.

Paperwork to keep

  • Repair Orders (ROs): keep paper copies 2–4 weeks.
  • Extra-service authorizations: some dealerships require written approval from a Sales or Service Manager for work outside our regular services. Get it in writing and keep it 2–4 weeks.
  • Damage found during inspection: report it to the dealership before work starts — a text with a photo, or in person. Keep the text.
  • Keep your own record of your work too, in case it ever needs to be compared.
